Directory Provider Code of Conduct and Quality Policy

  1. Purpose

The Child Therapy Service Directory exists to help families, schools, and referrers find safe, ethical, and child-centred therapeutic and wellbeing support. This policy sets out the standards of conduct expected of all professionals and organisations listed on the Directory and explains how we maintain the integrity and trustworthiness of the platform.

All listed providers are required to read, understand, and comply with this policy. Continued listing on the Directory constitutes acceptance of these standards.

  1. Ownership and Operation

The Directory is owned by Child Therapy Practitioners Limited (Company No. 13945877) and operated and managed by Child Therapy Service CIC (Company No. 12067820) under licence.

  1. Code of Conduct for Listed Providers

All professionals and organisations listed on the Directory are expected to:

  • deliver services in line with their advertised specialisms and the ethical frameworks of their relevant professional body, including HCPC, BACP, UKCP, NCS, RCOT, and RCSLT
  • act with professionalism, respect, and sensitivity in all interactions with children, families, schools, and other stakeholders
  • respond to enquiries in a timely, courteous, and professional manner
  • provide accurate, honest, and transparent information about qualifications, services, fees, and availability at all times
  • comply with all relevant UK legislation, including UK GDPR, safeguarding duties, and professional registration requirements
  • maintain valid professional indemnity and public liability insurance where required by their professional body or applicable law
  • notify us promptly of any material changes to their qualifications, registration status, or services
  1. Accuracy of Listings

Listed providers are solely responsible for ensuring that their listing information is accurate, current, and not misleading. This includes qualifications, accreditations, specialisms, fees, location, and availability.

We reserve the right to request evidence of any qualification, registration, or accreditation stated in a listing at any time. Failure to provide satisfactory evidence may result in suspension or removal of the listing.

  1. Quality Monitoring

The Directory does not host public reviews or star ratings. Quality is maintained through private and confidential monitoring, which may include:

  • concerns or reports submitted by users, families, schools, or other professionals
  • feedback received through our contact channels
  • observations made during listing submissions, renewals, or moderation reviews

All feedback is handled sensitively and in confidence. We do not share the identity of anyone who raises a concern unless required to do so by law.

  1. Responding to Concerns

Where a concern is raised about a listed provider, we will follow the process below:

Concern raised about conduct, accuracy, or communication

Provider is contacted and given a reasonable opportunity to respond

A pattern of concerns is identified

Listing is reviewed by our team and may be temporarily paused pending investigation

Serious or verified concerns are raised

Listing may be suspended or permanently removed to protect users and maintain platform integrity

Providers will be given the opportunity to respond and provide context before any final decision is made, except where an urgent safeguarding concern requires immediate action to protect the safety of children or families.

  1. Grounds for Suspension or Removal

We reserve the right to suspend or permanently remove a listing at any time where:

  • verified concerns about safety, conduct, or professional standards are received
  • false, misleading, or unverifiable information is identified in a listing
  • a provider ceases to hold the qualifications, registration, or insurance required
  • repeated requests for clarification, verification, or engagement are ignored
  • a provider’s conduct brings the Directory or the Child Therapy Service into disrepute

No refund will be issued for any listing suspended or removed as a result of a breach of this policy or failure to meet the required standards.

  1. Safeguarding

The safety of children and young people is our highest priority. Where a concern is raised that involves a potential risk to the safety or welfare of a child or young person, we reserve the right to act immediately, including suspending a listing without prior notice, and to refer the matter to the relevant statutory authority where appropriate.

Listed providers must hold and operate in accordance with their own safeguarding policy and comply with all applicable safeguarding legislation and guidance, including Keeping Children Safe in Education where relevant.

  1. Raising a Concern

Anyone wishing to raise a concern about a listed provider or the conduct of a professional on the Directory may do so by contacting us at:

All reports are reviewed confidentially. We will acknowledge receipt and respond as appropriate. We do not publish details of concerns or investigations.

  1. Supporting Good Practice

We are committed to supporting listed providers in maintaining high standards. Where appropriate and at our discretion, we may offer:

  • guidance on updating or improving a listing
  • feedback following a concern or moderation review
  • advice on meeting Directory standards or relevant ethical frameworks

Our aim is to uphold the quality and safety of the platform while helping providers present their services clearly and professionally.

  1. Policy Updates

This policy may be updated to reflect changes in legislation, safeguarding guidance, or our operational requirements. Updates will be published on our website. Continued use of the Directory following the publication of an updated policy constitutes acceptance of the revised terms. We recommend that listed providers review this policy annually.
